Would you like to organize an event about preprints and are unsure where to start? Then search no more, we have the resource for you.
ASAPbio wants to support members of our community who are interested in doing outreach about preprints with their communities or wish to raise awareness about preprints with their students or groups they interact with. To this end, a group of 2022 ASAPbio Fellows has created a Preprint event toolkit, a guide to help conceptualize, prepare and deliver a preprint event.
The toolkit outlines 10 steps to help document the goals, audience and elements of the event, get buy-in for the project, recruit contributors, and deliver the event, either online or in person at a local institution. The toolkit includes, among additional tips:
- An event preparation document template
- Email templates to approach possible collaborators and speakers
- Tips on how get buy in and promote the event
ASAPbio is available to support community members interested in hosting this type of event, so please do let us know if you are planning a preprint event and we can help in any way. We are happy to disseminate the event information, post preprint stickers to you to distribute during the event or support hosting for online events. In addition, we have a community projects program where members of the ASAPbio community can apply for financial support for their preprint projects, including outreach projects or local meetings or events. For more information on this initiative and how to apply, please visit: asapbio.org/community-projects.
We thank the ASAPbio Fellows João Victor Cabral Costa, Ana Đorđević, Raj Rajeshwar Malinda, Ehssan Moglad, Saeed Shafiei Sabet and Clara Yona for their contributions to this toolkit.
We welcome feedback on the toolkit, are there other tips or tools that would be useful? Additional templates to add? Please do get in touch with any suggestions. We hope this will be a useful resource for the community. If you use the toolkit and/or are planning a preprint event, do let us know!
